You can have it open on multiple at a time if you are not editing.
Setup syncthing between the computers. If the person is not tech savy enough, they can always force the tech savy enough person they know to set it up for them. The are no problems with the tech, people just dont know it exists. Even if you don’t or can’t use syncthing (iOS users), you can just be stupid and put it in the cloud.
Use a user agent switcher. Usually fixes the problems.

Use a password manager, its way better. I use KeePass and sync the database across devices with syncthing.

It is lack of awareness, the users don’t report most problems to you. If they did, you wouldn’t have time to do anything but read the problems. I don’t report to IT every bug that annoys me in teams, because they can’t do shit about it and it would take hours for me to list them
There is a setting buried somewhere to make it ask where to save every time in teams, and you can press f12 (I think)to open the windows save dialogue in other office.
Both of them are the same thing but require edge to be installed
